The Audiology Assistant supports audiologists in delivering compassionate hearing healthcare services by assisting with clinical and administrative tasks. This role ensures patients have a positive experience by helping to ensure appointments run smoothly, hearing aids and diagnostic equipment are properly maintained, and documentation is complete and accurate. All duties are performed under the supervision of a licensed audiologist, exclusively on behalf of Employer. This role reports to Shannon. L. Austin, Au.D.

Duties Include

Patient Care & Support

  • Assist front office staff with scheduling, phones, and administrative tasks as needed, including coverage during staff vacations or absences

  • Conduct basic case histories prior to the audiologist's evaluation

  • Prepare patients for appointments and explain procedures

  • Perform hearing aid cleanings, maintenance, and troubleshooting

  • Instruct patients on proper hearing aid use, care, and insertion/removal

  • Manage hearing aid drop-offs and curbside services

Clinical Support

  • Perform minor hearing aid repairs (e.g., receiver replacement, wax trap changes)

  • Conduct listening checks and basic functionality tests on hearing aids

  • Conduct electroacoustic analysis of hearing aids

  • Prep hearing aids for upcoming fittings, repair pickups (e.g., downloading programming, labeling, pairing accessories)

  • Assist patients with basic cell phone and Bluetooth connectivity troubleshooting for hearing aids

  • Maintain clinic supplies, restock rooms, and disinfect equipment between patients

  • Prepare materials and rooms for audiologic procedures

  • Comprehensive Education: Providing strategies for managing hearing loss, ensuring patients feel empowered and informed.

  • Monitor Progress: Evaluating patients' progress through subjective measures to ensure hearing goals have been attained. (e.g. Handicap Inventories and COSI, etc.)

  • Optimize workflows to enhance productivity, including but not limited to scheduling appointments effectively and minimizing wait times for patients.

Administrative Duties

  • Maintain accurate and timely documentation of patient records at all stages, including phone calls, insurance documentation and scheduled patient encounters within EMR.

  • Manage completion and organization of Notice of Non-Coverage forms, insurance documentation, patient consent forms, and hearing aid purchase agreements

  • Maintain accurate records of loaner devices, repairs, and warranties

  • Manage inventory of hearing aids and accessories

  • Uphold HIPAA and clinic privacy/confidentiality policies

Team Collaboration

  • Communicate effectively with audiologists and front office staff

  • Community Outreach: Participating in community events, health fairs, and educational workshops to raise awareness about hearing health and support business growth.

  • Exceeding Expectations for the Best Patient Journey: Employ best practices to provide exceptional care and service to enhance patient loyalty and make a positive impact on their quality of life beyond the clinical setting. This requires personalized care, follow-up support, collaboration with families, empathetic listening, as well as proactively anticipating and resolving problems before they become noticeable to the patient. Demonstrate the ability to use appropriate judgment, independent thinking, flexibility, and creativity when resolving customer issues.

  • Mutual Support and Respect: Recognize co-worker's expertise and offer assistance when needed; even when task(s) may not be primary responsibilities of the audiology assistant to foster a supportive work environment.

  • Attend staff meetings and trainings as scheduled

Professional Development

  • Participate in ongoing training related to hearing aid technology, patient care, and clinic procedures

  • Stay informed on new hearing aid features, apps, and connectivity updates

  • Attend manufacturer trainings, webinars, or continuing education sessions as assigned

  • Support quality improvement initiatives within the clinic

  • Participate in collaborative teamwork to identify areas for improvement in patient care processes. Willingness to collect feedback, analyze outcomes, and adjust as needed.

  • Demonstrate willingness to grow into new responsibilities as the role evolves.

Marketing Support

  • Assist with marketing projects such as social media posts, patient newsletters, and community event planning

  • Help create and distribute educational materials promoting hearing health and clinic services

  • Support patient outreach efforts, including appointment reminders and review requests

  • Collaborate with the team to brainstorm and implement promotional campaigns

Additional Duties

  • Perform additional duties or services as assigned by the audiologist or employer to support clinic operations

  • Strong attention to detail and ability to multitask in a fast-paced environment
